Global search in a site or all sites

You can search for all content across every site that you have access to, or you can limit the search just to a specific site.

If you require the legacy search experience, please ask your HighQ representative to disable 'search using APIs'.

Global search

Global search now includes the ability to:

  • Search one site or search the whole of HighQ
  • Separate out file-related results
  • Select one or more results to perform bulk file management actions (e.g. download, share, move, copy)
  • Change to the search filters without performing a new search - a new search is performed only when you apply new filters

By default search now:

  • Uses 'AND' by default to narrow results
  • Highlights any errors in the search syntax before the search is started

For example, an error message is displayed if the search term is incomplete:

Click Search in the top navigation bar:

The search field expands:

Press Enter on your keyboard to perform the search.

By default the search is performed on the current site. To include all sites and content, click the arrow next to the search box, and make sure All is selected:

The Files module has its own 'quick search' interface.

Search results

Initial results are shown under the HighQ (All) tab for the site used to launch the search.

Standard search expressions (AND, OR, NOT, etc.) are supported; if you enter multiple terms, e.g. 'legal home', then results are returned for 'legal' AND 'home'.

To see results from the Files module only and perform bulk actions, select the HighQ (Files) tab.

After the initial 20 results are shown, the search continues in the background until 500 results are obtained.

Click Load more to see another 20 results. 

If you continue to select Load more, you can exceed the 500 results limit.

A system admin can change the default 500 results limit to 100, 1000 or 'Load all'.

Practical Law search results - if your organisation also uses Practical Law, you may ask your HighQ representative to activate 'Federated search'. If it is available, select a Practical Law tab to see results that match the query from the appropriate Practical Law instance (US, UK, CA, etc.).

This option is available on request only.

As of October 2023, in System settings, a system admin can set which Practical Law tabs are displayed and the order they are displayed.

Filters

The left column of the search results page provides several filters:

You must wait until your search has provided all results before you can change the filters.

Click a drop-down menu and choose one or more options from the list to set your filters. 

After you have set your filters, click Apply to update the search results. Click Clear to remove all selected filters.

Active filters are shown as buttons above the list of results. Click the red X in a button to remove a filter.

Filter by file type

If you perform a search in the HighQ (Files) section and the search has finished, select one or more file types from the File type menu, then click Apply.

As of June 2023, you can enter a file extension in the search field to filter results:

Type your search term, then add a dot and the file extension; search results are constrained to the specified file extension.

Bulk actions on files and folders

You can find documents and perform bulk actions in the HighQ (Files) tab; including the ability to apply changes to files and folders across multiple sites.

As of June 2023, you may also download selected files in a single zip archive.

Click a file name to open the document viewer, or a file path to open the containing folder.

You may select files from a page of up to 100 results; click Load more at the bottom of the list to display more files until the limit of 100 files is reached. If you select Load next 100 at the bottom of the list, then this clears your current selection.

The filter pane provides options appropriate to files while the HighQ (Files) tab is open. 

Select files from the search results to activate the icons at the top of the results:

The actions are:

  • Download - selected files are downloaded in a zip archive
  • Share - share an email with links to selected files. If only one file is selected, you may share a direct link to the file
  • Move or copy - move or copy the selected files
  • Remove from favourites - any selected files that are favourites are removed from your favourites
  • Add to favourites - selected files are added to your favourites
  • Delete - delete the file from the site

When an action is performed, your current selection is cleared.

The archive for downloaded documents uses the instance name and date as a file name; documents in the zip are organised by site.

Other actions

Other actions are available for single files in the results list:

  • Favourite - click the star to add or remove the file from your favourites
  • More actions - click the More actions icon to see a list of actions for that file:

 

Legacy global search

Click Search:

To display the search bar:

Click the arrow next to the search box, and make sure All is selected:

Press Enter on your keyboard to perform the search.

The Files module has its own quick search method.

Search results

Below is an example of the Search results screen:

Search scope

In the upper left of the search results page is a site filter:

The site filter can be used to apply the search to all sites that the user has access to, or just to a particular site.

Site-specific search

When you click on the search category selector from the Top Navigation Bar while on any page within a given site, an extra "This site" category will appear:  

To limit the scope of the search to the current site, click This site, type in the search terms and press Enter.

All site search

If a search is initiated with the All category selected, then the search is run across all sites where you have access, regardless of whether that site is open.
