Generate documents from the Contract Express questionnaire

There are several ways for users with an account to manually generate a document from a Contract Express template:

Each process accesses the Contract Express questionnaire and allows the user to review and revise any text or selection before the document is generated.

Users must have the correct permissions to access the template and the module; if you need to set up templates for 'public' access, please refer to Doc Auto public access.

To ensure Contract Express generated documents can be saved in HighQ make sure that the file type is not blacklisted under System admin, File, File types.

From a Doc Auto panel on the Home page

If a Doc Auto panel with links to Contract Express templates is added to the Home page, simply click the title of a template to start a document.

Users must have the correct permissions to access the template and the Home module; if you need to set up templates for 'public' access, please refer to Doc Auto public access.

  • In the example below, click Non Disclosure Agreement to create an NDA.

If this panel is not available, a site admin can set up dashboard panels on the site's Home screen.

The document is saved in the location defined by the site admin.

From a link in a navigation menu, wiki or dashboard

As of March 2024, Contract Express allows you to share a link that an authenticated user can use to start a document. You can use this link anywhere you can normally add an external link in HighQ.

  • Improved flexibility - access document generation from any location in HighQ
  • Create custom navigation to templates for improved efficiency
  • Gain additional options for launching questionnaires - from navigation menus, wikis or dashboards

Open the Admin module, then navigate to Document automation, Contract Express templates, Internal:

Find the template that will generate the document.

These links are not available for public access. Public (not signed-in) users must use a public access template and link.

Select Share from the More actions menu.

Click Select link to copy the link:

Select Use short URL to create a shorter HighQ redirect link.

Adding the document generation link to a site

You may now use the link anywhere you would use an external link in HighQ.

Wiki

For example, you can insert a link in a wiki:

Paste the URL as an external link, and choose if the questionnaire will open in a new window, or the same window:

Dashboard

As another example, you can create custom lists with links in a dashboard content panel:

With a content panel, you can add a description with additional instructions:

Navigation menu

As another example, you can menu items to the HighQ navigation menu:

Open Site navigation in the Admin module, then select Custom site navigation

Click Add, Menu item, then External:

You can add a 'container' to create a menu that contains multiple options. 

Opening the questionnaire from a link

When a user selects the link, the Contract Express questionnaire opens:

The window shows the title and description of the questionnaire, followed by a button to start.

Only users with a valid account for the site can open the questionnaire.

From the Files module

You can create a new document from a Contract Express template in the Files module

Users must have the correct permissions to access the template and the Files module; if you need to set up templates for 'public' access, please refer to Doc Auto public access.

  • Open the Files module, then navigate to the folder where you want to save the generated document.

Unlike other options, the document is not saved in the location defined by the site admin; the document will be created in the selected folder.

  • Select New, then Document from template.

  • Select the template to use (in this example there is only one template). Then click Next.

If the user is logged in, the Contract Express questionnaire opens in a HighQ window. Click here for information about the questionnaire and generating the document.

 

 

From the Linked iSheet

If an iSheet has been linked to the template, a document can be generated directly from the iSheet record.

Users must have the correct permissions to access the template and the iSheet module; if you need to set up templates for 'public' access, please refer to Doc Auto public access.

As of June 2022, documents can be generated with Contract Express by selecting multiple iSheet records and the Generate documents button in the Action menu.

  • Open the iSheet module and open the iSheet linked to the Contract Express template.
  • Find the record that will be used in the document, click the More actions button for the record and select Generate document.

To generate multiple documents, select the check box on the left of each record, click the Actions button at the top of the table and select Generate documents.

Make sure the Contract Express tab is selected.

You do not need to select Contract Express if you have selected multiple documents.

  • Select the template and click Generate.

If you have selected multiple records, select one or more templates. 

A document is saved for each template, for each selected record.

Each document is saved in the location defined by the site admin.

Review and create documents from the Contact Express Questionnaire

HighQ opens the Contact Express questionnaire for review; you can revise any entry from a linked iSheet, or add additional data, before generating the document.

As you fill a questionnaire with multiple pages, or if you open a questionnaire later to edit answers, the page list shows the current status:

  • a grey tick indicates that a page has been opened, but is not complete,
  • a green tick indicates that a page is complete:

Click Preview to see a representation of the document before it is generated.

If you change answers to the questions on the left of the window, the preview is updated to show changes.

You can return to an earlier step in an ongoing questionnaire and revise an answer without losing progress beyond that point. Click on the navigation arrows to return to an earlier step.

All users, including users with a Basic user account, can edit earlier answers.

When you are satisfied with the selected answers, select Save & close to generate the document.

When the document is saved, the Output iSheet changes to match the submitted answers. The Input iSheet does not change.

 

Error messages when generating documents

If the document generation encounters a problem, an error message is displayed in the top bar.

Check your questionnaire, template and settings to address the error; then start the generation process again.
