Auto redaction

As well as our document redaction capability where you can redact content within a file, there is now the capability to bulk redact multiple documents in one go based on a pre-defined term bank. 

Enabling auto redaction

System admin users can enable redaction in System admin>System vocabulary>Redaction vocabulary

Use Add to add new terms into the vocabulary listing.  Use the More actions option against each term and you can choose to Remove them if they are not required. Use Edit to open the Add redaction vocabulary and make changes to the term. 

There is the capability to make use of the Regex (Regular expression) field, where if you have the regex or criteria for matching the particular term this can be added in here. A tip is displayed underneath the Regex field to note where the information can be found if you do not know the syntax. Click Update to save any changes. 

Using Auto redaction

Within the Files module, select the files that you wish to auto redact. In the Actions menu choose Auto redact

The Auto redaction window opens and you will see pre-defined terms that you can utilise to redact content from multiple documents. 

For example, if you choose to remove the word 'Property' in your files and then replace it with the word removed, you would tick the Word option in the listing and write the word to be reacted next to it in the field. In the Placeholder text field you should add the word that is replacing the redacted word which will be the word 'removed'.  This example is displayed in the image below.

Select Redact to remove the words from your chosen files. The system will let you know once the files are ready, as the statuses of the files will be marked as Done. 

Click on the file to open it in the viewer. The word Property is now replaced with the term removed.

Site Administrators can still manage the redactions and how they look and appear.

Also within the document viewer (on the right hand side), you have the Redact option available where you can choose to manually redact terms or auto redact terms. 

As with document redaction, any file that contains redaction is 'burned' into a PDF document when it is shared or downloaded.
