Overview of the report

This report gives the user the ability to report on all content within the instance.

Running the report

Navigate to System administration > Audits and Reporting > Content > Content report to display the Content report screen:

Within the Content report screen, as of our December 2023 release, you have access to three options:

  • Published between: This allows you to select a date range to search content for
  • Select sort: This new filter allows administrators to select how they sort content, reducing administrative burden and improving reporting relevance. You will be able to filter by: Publish dateLast edited dateContent titleModule name and Author:

  • Show advanced filters: Clicking Show advanced features will display more fields:

Within the Advanced features section, you have the option to filter your report by TitleModuleAuthor or Contact and Metadata.

Click Show audit to show your final audit. Once you have published your audit, you can download the audit to excel by clicking Download to excel.

Existing fields in the content report

  • Last edited - This field is the last time a Content Administrator or System Administrator accessed the publication
  • Include in email notification - This is the last time a Content Administrator or System Administrator selected the Include in Email Notification checkbox
  • Include In Email Notification Last checked - This is a yes or no field to help the content or system administrator identify if the content piece would be included in the tailored email. If in the last edited column, the date and time is different to the include in email notification column the answer in this column would be a no. If in the last edited column, the date and time is the same as the include in email notification column the answer in this column would be a yes

As an example, this means that a user can now run a report and the report will now show the last Edited Date was the 10th December but the last Selected Include in Email Notification was the 9th December. The Include in Email notification Last Checked column would display no. This then clearly shows that the email didn't send and wouldn't be sent.

New fields in the content report

We have 1 new field in the Content Report:

  • Automatic archive date - This field enables administrators to double check which pieces of content are to be archived automatically and when

Below is what the new field looks like:

Content Permalink column

We have introduced the Content Permalink column, for the Publications, Videos and Events:

to enable users to go directly to the content.

The delimiter of this report can now be changed to either Comma, Colon, Semi Colon or Pipe. To change this, please contact HighQ support. Once this has been changed to your preference, when you run a report, the information will be separated via the method chosen, e.g. semi colon:

Managing metadata displayed in reports

As of our March 2023 release, we have introduced the ability to remove unwanted out-of-the-box metadata from the content report. To do this, navigate to your drop down profile > System admin System settings > Metadata:

The Metadata screen will be displayed. Here will list all of the available metadata within your site. Out-of-the-box metadata is identified by a cog, next to the name of the metadata:

Click the metadata you want to hide from your report and the screen will be displayed:

Here, you can de-select the new Show in reports checkbox, which will then remove this metadata from your report. Click Save to save your changes.
