The following modules have built-in content creation workflows, which include both editor and approver roles, facilitating an approval process for content before it goes live:
- Publications
- Events
- Video
There are two different editorial environments to select from, which are:
Open editorial environments allow a user with sufficient permissions to create content and edit other users' content. This option is useful for modules, for example, where anyone in the content management team may revise content created by someone else.
In a Closed editorial environment, existing content is strictly controlled and edits can only be done by users in designated editor groups. Editor groups are collections of users who can edit each other’s content. Editors can be a member of one, many or no editor groups. Each editor group can be assigned approvers, allowing tighter control of who can approve the group’s content. Notifications of new content may be sent to specific approvers. If an editor group has no approvers designated to it, then all administrators for that module will receive the email notifications, including system administrators.
Roles
Module-specific user roles required for editor and approver functions are as follows:
- Editor - An editor has the ability to create content in a particular module but cannot publish content themselves. Content is submitted for approval and must be approved before it is posted. Editors can edit content and resubmit it for approval.
- Approver - An approver has the ability to create content, edit content and publish content in a module. Approvers are alerted when editors have submitted new content for approval.
- Module admin - The module admin can control all aspects of the module, such as; dashboard creation, metadata management, content element selection AND all of the functions of the above roles.
Where is a module administrator set?
A module administrator is set at the user level, via System Admin > User > Edit Permissions. The following screen will be displayed:
Select which modules the user should be a module admin for, and click Save.
Please note that Editors and Approvers get enabled here too.
Content approval: Show hidden metadata
As of version 5.5, we have added the ability for administrators to choose to show hidden metadata nodes for approvers.
This ability have been added through a new checkbox, found via Content hub > Modules > More actions > Edit details > Content settings:
When this checkbox is selected and the approver is viewing the publication approval page, they will now see the hidden metadata nodes.
This means, as a content approver or system admin, you the choice to able to view and/or approve the hidden metadata nodes, as well as the other metadata without going into edit the article itself.
The metadata nodes will then be displayed within the Approve publication screen.
